Privacy Policy
Last updated: September 28, 2026
Impact Institute (“we,” “us”) provides 1-on-1 virtual coaching for post-secondary volleyball athletes. We respect the privacy of every athlete and family we work with. This policy explains what personal information we collect, how we use it, and your choices.
We handle personal information in accordance with applicable Canadian privacy laws, including British Columbia’s Personal Information Protection Act (PIPA).
Information we collect
When you apply: your name, email address, whether you are an athlete or parent, the athlete’s name, current school or commitment, position, and what you’d like to work on.
When you book a call: your name, email address, and any details you add when booking. Bookings are managed through Google Calendar.
When you contact us: any information you share by email, text, or phone.
During coaching: information needed to provide the program, such as goals, session notes, training and game footage, and details about performance, training, recovery, nutrition, injuries, and wellbeing that the athlete chooses to share.
How we use your information
We use personal information to:
- Review applications and assess fit for the program
- Schedule and hold intro calls and coaching sessions
- Provide and personalize coaching, including video analysis and action plans
- Communicate with athletes and families about the program
- Handle payments, scheduling, and other administration
- Meet our legal obligations
We do not sell personal information, and we do not use it for purposes unrelated to our services without your consent.
Confidentiality in coaching
What an athlete shares with Brent during coaching is kept confidential. We do not share it with parents, team coaches, schools, or anyone else without the athlete’s consent, except where there is a concern for someone’s safety or where disclosure is required by law.
Service providers and storage
We use trusted third-party services to run our business, including Webflow (our website and application form) and Google (calendar, email, video calls, and file storage). These providers may store information on servers outside Canada, including in the United States, where it may be subject to the laws of those countries. We share only what these providers need to deliver their services.
Athletes under 18
Some applicants may be under 18. When an athlete is a minor, we ask that a parent or guardian be involved in the application and consent to the athlete’s participation.
How long we keep information
If an athlete does not join the program, we keep their application information for 12 months, then delete it.
For athletes in the program, we keep coaching records while they are a client and for 2 years afterward, unless a longer period is required by law. We then securely delete or destroy them.
Protecting your information
We take reasonable steps to protect personal information from unauthorized access, use, or disclosure. These include limiting access to those who need it and using secure, password-protected services.
Your choices and rights
You can:
- Ask to see the personal information we hold about you
- Ask us to correct information that is inaccurate or incomplete
- Withdraw your consent to our use of your information
Withdrawing consent may affect our ability to provide coaching. To make any of these requests, contact us using the details below. We will respond within 30 days.
